The Challenge
Client’s internal CEO evaluation system was extremely difficult and cumbersome to navigate on a consistent basis so Board of Directors had a limited view into operations at various sectors and branches.
Solution
Our innovative PowerApps solution is designed to replace an existing system due to server retirement, providing a seamless and efficient evaluation process for multiple organizations, each with their own CEO and board of directors.
Key Features:
- User Roles and Workflow:
- CEO and Board of Directors: Each organization has its own CEO and directors who participate in the evaluation process, with the CEO completing their self-evaluation first, followed by the directors.
- Administrator: Manages the entire process for all organizations, including user roles and evaluation cycles.
- Flexible Evaluation Process:
- Annual CEO Review: Conducted by the board of directors for each organization, ensuring comprehensive performance assessments.
- Self-Evaluation: CEOs provide a self-evaluation, including both quantitative and qualitative ratings, along with a flexible rating scale (3, 4, or 5 points) tailored to their specific organization.
- Director Input: Directors can provide ratings and comments or opt out of providing feedback.
- Dynamic Rating Scales and Weighting:
- Consistent Rating Scales: Applied to both objectives and competencies within each organization, ensuring uniformity.
- Weighted Evaluations: Each objective and competency is assigned a percentage weight, contributing to the overall evaluation grade.
- Comprehensive Reporting:
- On-Demand Reports: Summarize evaluation results based on input from the CEO and directors, available at any time for each organization.
- Administrative Control:
- Objective and Competency Management: Administrators can create, duplicate, and manage objectives, competencies, and questions for each organization and evaluation cycle.
- User Management: Administrators control the addition and removal of directors and manage the CEO’s self-evaluation process for each organization.
- Automated Notifications: Alerts and templated emails keep all participants informed and on schedule.
Technical Solution:
The solution consists of two Canvas applications and ten flows:

- User Application
- Admin Application
- Flows:
- Primarily used to send emails with details of the evaluation cycle.
- The most challenging flow generates the reports sent by the administrator to the CEO after the evaluation is completed.
- Flows also handle setting permissions on each item and moving completed evaluations to archive lists to avoid delegation issues, as the data is stored in SharePoint.
End Goal Functionality:
- Data Analysis: Generate Excel workbooks for data analysis using Power Automate and Excel Online scripts.
- Exclusion of Incomplete Data: Ensure objectives and competencies where the user did not provide any answers are not included in the calculation.
- Report Generation: Extract data as pictures and include them in a Word document. Generate reports that adapt to each organization with descriptions of the rating options and criteria for each objective and competency.
- User Experience: Design an intuitive user interface with accessible guidance, catering to users who are not computer literate.
